Privacy Policy

Your privacy matters to us, plain and simple

Last Updated: November 5, 2025

Hey there! Look, we get it - reading privacy policies isn't exactly anyone's idea of a good time. But we're gonna keep this real with you because that's how we roll at Zephyr IX Ascend.

When you train with us, trust is everything. You're pushing your limits, sharing your goals, and letting us into your fitness journey. The least we can do is be totally transparent about what happens with your personal info.

This policy covers how we collect, use, and protect your data when you use our facility, website, or any of our services. We're based in Vancouver, BC, so we follow Canadian privacy laws (specifically PIPEDA - Personal Information Protection and Electronic Documents Act).

Bottom line? We're not selling your info to some sketchy third parties. We use what you give us to make your training experience better, period.

Personal Details

When you sign up, we're gonna need the basics: name, email, phone number, address, date of birth, and emergency contact info. Nothing crazy - just what we need to keep you safe and stay in touch.

Health & Fitness Information

Since we're dealing with high-intensity training and athletic performance, we need to know about any injuries, medical conditions, or physical limitations you've got. Your PAR-Q form, fitness assessments, and training progress - we keep track of all that to program properly for you.

Payment & Billing

Credit card info, membership details, and transaction history. We use secure payment processors, so your full card numbers aren't stored on our servers.

Usage Data

Check-in times, class bookings, equipment usage, and how often you're hitting the gym. This helps us understand traffic patterns and make sure we've got enough space and coaches available.

Digital Footprint

When you browse our website, we collect IP addresses, browser types, and pages you visit. Standard web stuff that helps us improve the site experience.

Alright, so what do we actually DO with all this info? Here's the breakdown:

  • Program Your Training: We use your fitness data and health info to create programs that won't wreck you but will definitely challenge you.
  • Keep You Safe: Emergency contacts and medical conditions are there so we can act fast if something goes sideways.
  • Process Payments: Pretty self-explanatory - gotta charge those memberships and class packs.
  • Send Updates: Class changes, gym closures, new programs, nutrition tips - the stuff you actually wanna know about.
  • Improve Our Services: We analyze attendance patterns and feedback to figure out what's working and what needs tweaking.
  • Legal Compliance: Sometimes we're required by law to keep certain records. Tax stuff, incident reports, that kinda thing.

We're not in the business of selling your data. Period. But there are a few situations where we might need to share info:

Service Providers

Payment processors, email platforms, scheduling software - these companies help us run things smoothly. They only get access to what they need to do their job, and they're contractually obligated to keep it secure.

Emergency Situations

If you get hurt and we need to call an ambulance, obviously we're sharing relevant medical info with first responders. Your safety trumps privacy in these moments.

Legal Requirements

If we're legally required to hand over info - court orders, subpoenas, government investigations - we've gotta comply. But we'll only give up exactly what's demanded, nothing extra.

Business Transfers

If we ever sell the gym or merge with another facility, your membership data would transfer to the new owners. We'd let you know well in advance if this were to happen.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately.

What They Do

Cookies are tiny files that remember your preferences, keep you logged in, and track how you use our site. They help us understand what content you're into and how we can make the website better.

Types We Use
  • Essential Cookies: These are necessary for the website to function. Can't book classes without 'em.
  • Analytics Cookies: Help us see which pages get the most traffic and where people are clicking.
  • Preference Cookies: Remember your settings and choices so you don't have to re-enter them every time.
Your Control

You can disable cookies in your browser settings, but heads up - some features might not work properly. Most browsers let you choose which types of cookies you're cool with.

Under Canadian privacy law, you've got some solid rights when it comes to your personal data:

Right to Access

You can request a copy of all the personal data we have on you. Just shoot us an email and we'll get it to you within 30 days.

Right to Correction

If something's wrong or outdated, let us know and we'll fix it. Changed your address? Updated phone number? We've got you.

Right to Deletion

Want us to delete your data? We will, unless we're legally required to keep it (like financial records for tax purposes). Once your membership's done and legal requirements are met, we'll wipe it.

Right to Opt-Out

Don't wanna receive marketing emails? Hit that unsubscribe button or let us know. You'll still get important stuff like billing notices and safety updates though.

Right to Portability

Need your data for another gym or service? We can provide it in a machine-readable format.

We take security seriously. Here's what we've got in place to protect your info:

  • Encryption: All data transmitted between you and our servers is encrypted using SSL/TLS protocols. That's the little padlock you see in your browser.
  • Secure Storage: Your data lives on secure servers with regular backups. Physical access is restricted, and everything's password-protected.
  • Limited Access: Only staff members who actually need access to your data can see it. Front desk needs your contact info, coaches need your fitness records, but nobody's got access to everything.
  • Regular Updates: We keep our systems updated with the latest security patches and protocols.
  • Staff Training: Our team knows how to handle personal data properly. We're not leaving printouts lying around or discussing your info in public areas.

That said, no system is 100% bulletproof. We do our absolute best, but if there's ever a data breach, we'll notify you and the relevant authorities ASAP as required by law.

Your Part: Keep your account password secure. Don't share it with anyone, and if you think it's been compromised, change it immediately.

Our programs are designed for adults 18 and older. We don't knowingly collect personal information from anyone under 18 without parental consent.

If you're bringing your teen to train with us (16-17 year olds with parental permission), we'll need a parent or legal guardian to sign off on everything and provide the necessary info.

For anyone under 16, we require direct parental supervision during all training sessions.

If we discover we've accidentally collected data from a minor without proper consent, we'll delete it immediately. Parents, if you think this has happened, please contact us right away.

Our website might link to other sites - supplement companies, equipment manufacturers, nutrition resources, that sort of thing. We might also embed videos or social media content.

Here's the thing: once you click away from our site, this privacy policy doesn't apply anymore. Those other sites have their own policies, and we can't control what they do with your data.

We try to only link to reputable sources, but we're not responsible for their privacy practices. If you're concerned, check out their privacy policies before sharing any personal info.

Social Media: If you interact with our social media posts or pages, those platforms collect data according to their own policies. We only see what you choose to share publicly or send to us directly.

Look, things change. New laws get passed, we add new services, technology evolves. When we update this privacy policy, we'll post the new version here with an updated "Last Updated" date at the top.

For minor changes (like fixing typos or clarifying existing practices), we'll just update the page. For major changes that affect how we handle your data, we'll send you an email heads up.

We recommend checking this page occasionally, especially if you're concerned about privacy. The date at the top will tell you when we last made changes.

If you continue using our services after we've updated the policy, that means you're cool with the changes. If you're NOT cool with them, let us know and we can discuss your options.

Got questions about this privacy policy? Want to exercise your rights? Need to update your info? We're here for it.
